Introduction

This page lists the steps to grant Gmail delegation of a department email account to another user.

Gmail delegation gives users limited access to a department email account to read and send emails from it. The account stays secure as delegation does not share the password, and account owners can revoke a user's access at any time.

Please Note:

  • Gmail delegation can only be given to a maximum of 25 users.
    • Delegation will need to be resent for expired invitations that have been unaccepted after 7 days.
    • Gmail delegation only gives the ability to read and send emails. It does not give access to Google Drive contents, Google Calendars, or other Google Workspace apps.
    • Users should give Gmail delegation for department email accounts and not personal Gmail accounts.
    • Users can only give Gmail delegation
    to @biola
    • to @biola.edu email accounts.
    • It may take up to 30 minutes after accepting delegation for it to show up in their accounts.
    • Once users have accepted Gmail delegation, they must access the delegated account from their personal Biola email in a web-browser. The Gmail delegation function is incompatible with mobile devices.

    1Log in to gmail.com using your Biola email address and password.

    2Click the Settings icon toward the top-right of the window.

    4Click Accounts tab from the navigation menu.

    Mark as read: Choose whether you would like delegated users to be able to mark emails as read when they view them.

    Sender information: Choose whether you would like sent emails to show which delegated user sent them.

    By default, outgoing delegated emails will display "sent by <delegate's name>" in the sender information.

    If you don't want the delegate's name to display with the sender information, select Show this address only under Sender Information.

    Click Add another account.

    Type the Biola email address of the user you would like to give delegated access to and click Next Step.

    Users can only give Gmail delegation to @biola.edu email accounts

    9Repeat steps 6-8 for each user you would like to have Gmail delegation to.

    All granted users will receive an email invitation asking them to accept the delegation. It may take up to 30 minutes after accepting delegation for it to show up in their accounts.
