Procedure

StepWhat to Do
1Make an appointment with the client to visit the proposed locations.
2Determine the size, position and distance needs for the Digital Sign by figuring out the closest and farthest distance from the intended viewers.
3Most digital signs need to be mounted at eye level with the center point of the display as the point of measurement. The ergonomic viewing distance of the target audience will help determine the actual height needed for each display.
4Inform and keep Jeff Silzer (Director of Application Services IT) and John Tuttle (Director of Student Communications) updated on the planning process and discuss any locations that have special height and viewing needs.
5Here are guidelines for sizing up displays for Digital Signage:


Closest recommended viewing distance while maintaining proper maximum field of view for Professional Signs. HD 1080p Formula (Diagonal screen size*1.6/12=Viewing distance in feet). Create an IT estimate for the following:

7Turn in a work order request with Facilities Management by calling x4898. Request a cost estimate for:
  • A two receptacle 120 volt 20 amp Single Gang outlet with built-in surge suppression.
  • Installing a backboard that will support the weight of the display as well as for installing the MacCuff, Display and Display Mount.
  • Providing a data pathway with a single gang wall box.
  • Provide name of IT contact in charge of Digital Signage Project.
  • Meet with representative from Facilities Management to show the proposed location for the Digital Sign.
  • It will take Facilities Management between one to three weeks to send their estimate.
8Present an itemized IT estimate and Facilities Management proposal to the client for approval with 25% of contingency included. This contingency is needed in case of a material cost increase.:
  • Request for a valid email authorization with the billable Fund and Org for ordering the materials.
  • Client will need to have the Facilities Management estimate filled out with the appropriate billable Fund and Org. A valid signature authorization will also be needed.
9If approved, turn in a ticket with the IT Coordinator or IT Administrative Assistant to purchase the IT related items.
10Scan and send approved Facilities Management proposal via email to facilities.management@biola.edu
11Follow up on ETA of all materials with IT Administrative Assistant or IT Coordinator and update Facilities worker as needed.
12Reassign ticket to the IT Helpdesk upon arrival of the Mac Mini for Digital Signage software set-up. Make sure to "schedule" the device to automatically reboot daily at a "random time" after 12 am from the "Energy Save" system preferences folder.
13Schedule an install date with Facilities Management upon arrival of all materials. Present Facilities worker with the MacCuff, NEC Professional Sign, and Display mount. Make arrangements to have the Data Lines installed by IT Technician.
14Obtain a combination lock kit from the IT Coordinator or the IT Helpdesk.
15Install Mac Mini within the MacCuff upon completion of power, data line, MacCuff, display and mount installation.
  • Safely pull display away from the wall.
  • Connect the Digital Sign and Mac Mini using the HDMI cable.
  • Connect the NEC display and Mac Mini to Network with Cat-6 patch cords.
  • Connect the MacCuff and NEC display to the electrical outlet with the power cables and built-in surge suppressor.
  • Turn on Mac Mini and NEC Display
  • Dress the data, HDMI and power cabling nicely behind the display. Pay close attention to make sure that the cables will not be pinched when pushing display back to wall.
  • Obtain the MAC address of the NEC Display and Mac Mini. Provide information to a Network Administrator to set-up DNS information.
  • Provide DNS information of NEC display and Mac Mini to staff of Application Services IT. The information will be used to troubleshoot signage problems remotely.
  • Update the Asset location information on the WebHelpdesk.
  • Update IT ticket on all billable hours.
16Inform client, Jeff Silzer and John Tuttle upon completion of project.
17Assign ticket to IT Coordinator for billing.
