Procedure

1Make an appointment with the client to visit the proposed locations.

Determine the size, position and distance needs for the Digital Sign by figuring out the closest and farthest distance from the intended viewers.

Most digital signs need to be mounted at eye level with the center point of the display as the point of measurement. The ergonomic viewing distance of the target audience will help determine the actual height needed for each display.

Follow the guidelines below for determining which size of display to use for Digital Signage.

Viewing Distance Formulas

Closest recommended viewing distance while maintaining proper maximum field of view for professional signs.

UHD 4K Formula (Diagonal screen size) / 12 = Viewing distance in feet

HD 1080p Formula: (Diagonal screen size * 1.6) / 12 = Viewing distance in feet

Digital Sign

Obtain an NEC quote from CDW-G. Purchasing will try to find a better price as well.

When a department asks to use their existing HDTV to as a Digital Sign, they must get approval from the Director of Technical Support.

Choose an NEC digital signs comparable to one of the following:

Display Mount

This mount supports up to 165 lbs. Make sure the mount can bear the weight of the display.

Purchase the least expensive model of Mac Mini currently available.

10 foot HDMI Cable

This connects the Mac Mini to the display. 10 feet provides enough length to position the Mac Mini anywhere behind the display.

Two Cat-6 Data LinesCreate a separate ticket to estimate the cost of installing two data lines. Assign it to an Infrastructure Technician.

Call Facilities Management (x4898) to request a cost estimate for:

  • A two-receptacle 120-volt 20-amp single-gang outlet with built-in surge suppression.
  • Installing a backboard that will support the weight of the display.
  • Installing the MacCuff, display, and display mount on the backboard.
  • Providing a data pathway with a single gang wall box.

Provide the name of the IT employee who is coordinating this particular digital signage project. (Probably you.)


Meet with the assigned Facilities Management representative to show them the proposed location for the digital sign.

It will take Facilities Management between one to three weeks to send their estimate.

8Present an itemized IT estimate and Facilities Management proposal to the client for approval. Calculate 25% of the total cost of the IT estimate, and add it to the quote. This contingency is needed in case of a material cost increase.

Request a valid email authorization from someone with signing authority. They must include the billable Fund and Org for ordering the materials.

The client will need to have the Facilities Management estimate filled out with the appropriate billable Fund and Org. A valid signature authorization will also be needed.


Send the Facilities quote to the client, and have them

  • fill out the Fund and Org, and
  • sign it.

Scan and send approved Facilities Management proposal via email to facilities.management@biola.edu

If approved, create and assign all necessary tickets to the IT Coordinator to order all IT components from the estimates.

Attach the estimate for the TV, and include links to all products.

Stay aware of the ETA for all materials. Check in periodically with the IT Coordinator.

Update the Facilities representative.

When the Mac Mini arrives, create a computer setup ticket for the IT Helpdesk.

In the ticket, tell the technician to "schedule" the device to automatically reboot daily at a "random time" after 12 a.m. This setting is in the Energy Saver system preferences.

When all the materials arrive, schedule an install date with Facilities Management.

Have Facilities come to pick up the MacCuff, NEC professional sign, and display mount from IT.



Arrange to have the Data Lines installed by an IT Infrastructure Technician.
14Get a combination lock kit from the IT Coordinator.

Wait for Facilities to install backboard, mount, display, and power.
15Install the Mac Mini within the MacCuff.
  • Safely pull the display away from the wall.
  • Connect the Digital Sign to the Mac Mini using the HDMI cable.
  • Connect the NEC display and Mac Mini to the network with Cat-6 patch cords.
  • Connect the MacCuff and NEC display to the electrical outlet with the power cables and built-in surge suppressor.
  • Turn on the Mac Mini and NEC display.
  • Dress the data, HDMI, and power cabling nicely behind the display. Pay close attention to make sure that the cables will not be pinched when pushing the display back to the wall.
  • Get the MAC addresses of the NEC display and Mac Mini, and give them to a Network Administrator to set up DNS information.
  • Give the DNS info for the NEC display and Mac Mini to the Apps team. The information will be used to troubleshoot signage problems remotely.
  • Update the asset location information in the Web Help Desk.
  • Update the billable tickets with all billable hours.
16Contact the client when the project is complete.
17Assign all billing tickets to IT Coordinator for billing.
