Biola Zoom Account Eligibility Policy


Introduction

This policy describes who is eligible to receive a Zoom license from Biola and when they can expect their license to be removed.

Definitions

  • Zoom One licensed account - a paid account that provides the user with advanced Zoom features.
  • Biola basic Zoom account - the free, Biola managed account that all Biola students, staff, faculty, and volunteers are eligible to receive.

Faculty

All full-time and adjunct faculty who use Zoom for teaching and learning are eligible to receive a Biola Zoom license. To receive a license, given a license on request. Adjunct Faculty will lose their Zoom license as soon as they are no longer teaching a course at Biola, usually at the end of a semester. Adjunct faculty will not lose access to their basic Zoom account with Biola until they are no longer affiliated with the University. Their accounts will not be deleted for one year after their last semester of teaching.

Staff

Staff are eligible to receive a licensed Biola Zoom account, but quantities are limited and IT cannot guarantee we will have one available. Staff can request a Zoom license by submitting the license request form. Staff will lose their Biola Zoom account when their employment with Biola ends.

Note: When employment ends, Biola IT will offer to help supervisors retain employee recordings. Otherwise, recordings are deleted two weeks after they were initially created.

Department Accounts

Department Account emails are not allowed to be licensed hosts under Zoom's Terms of Service which prohibits account sharing.

Students

All students will automatically receive a basic Biola Zoom account when they log into biola.zoom.us with their Biola username and password. Students will lose access to their Zoom account when departing Biola as a student.

Student Employees

Student employees are not eligible for a Zoom license, only a basic account.

Teaching Assistants

Teaching Assistants that will be creating Zoom sessions on behalf of their professor, or co-hosting class sessions, are eligible to receive a Zoom license. The TA’s faculty supervisor must request the license on their behalf. TA’s will lose their Zoom license at the end of every semester. Their basic Zoom account will remain.

Volunteers

Volunteers are not eligible to receive a Biola Zoom license, only a basic Zoom account. Volunteers can receive their basic Zoom account by logging in to biola.zoom.us with their Biola username and password.

Alumni

Alumni are not eligible to receive a basic or licensed Zoom account from Biola. When students leave Biola, they will lose access to all Biola Zoom accounts. This policy is in keeping with Zoom’s licensing rules and the constraints of managing Biola's corporate Zoom account.
