Changes to Alumni Google Accounts
1. Why is Biola making this change? |
---|
Historically, Google provided the free service for Educational customers with an unlimited number of users and unlimited data storage. Starting July 2022, Google will switch Educational customers from unlimited storage to a storage limit of 100 TB. This will impact Biola’s use of the Google services. When assessing the impact of this change, we discovered that Biola’s storage use is significantly over 100 TB. As of January 2022, overall Biola is using 1,069 TB and of that amount, Biola alumni use 749 TB of storage, 70% of the total school’s use. Google’s decision placed Biola in a tough position. After much consideration and discussion, we have made the hard decision to discontinue providing alumni Google Workspace accounts. |
2. When will I lose access to my alumni Google account? |

Current alumni will no longer have access to a biola.edu email account starting on November 1, 2022. We know this change will impact some of you, greatly. We are asking all current alumni to transition to a personal email account as soon as possible. We will delete all alumni accounts before the end of the calendar year. |
3. How do I update my contact information for Biola? |

4. Is there any way to keep the account and pay for it? |

Unfortunately, we are not in a position to keep some accounts to be paid by alumni directly. Biola decided to take the path of not paying for alumni accounts long term and deferring the costs to alumni by having them move their accounts to a personal email account. Our primary focus is to provide storage to support our academic and administration functions. |
5. Can I set up my Biola email address as a forwarding address? |

Biola decided not to invest in an email forwarding service. Purchasing an email forwarding service increases Biola's costs and, because of the increased misuse by cybercriminals, these services can be risky and unreliable. We apologize that this change is a major inconvenience. Biola offers a buffer period of 7 months to make any necessary changes to your account. We recommend setting up a new personal email account, changing your email address on online services, and using an auto-response (also called the vacation responder) to update your friends and family with your new email address. |
6. Can't Biola allow alumni to keep only their Gmail accounts and restrict other Google services? |

Choosing to maintain Alumni Google Accounts for Gmail and disabling all other Google Workspace services (like Photos and Drive) requires Biola to purchase additional Google storage and increase labor to support and protect these accounts. Biola's primary focus is to provide storage to support our academic and administration functions. |
7. How long do graduating students keep their Google account? |

8. How do I delete my Biola Google account? Can you delete my account immediately? |

Current alumni will no longer have access to a biola.edu email account starting on November 1, 2022, and Biola will delete alumni accounts before the end of the calendar year. In the meantime, we recommend setting up an auto-response (also called the vacation responder) to update your friends and family with your new email address in case any emails are sent to your Biola email address. |
9. If I'm no longer able to access my Biola alumni email account, how will I log into Handshake? |

You can still log in with your Biola NetID or biola.edu email address. Although the Biola email will not exist, it can still be used as your username for Handshake. Please update your primary email address for Handshake as soon as possible following the steps at the bottom of the Handshake 101 page. If you are still experiencing issues logging in, please contact Career Center at (562) 903-4875. |
10. If I'm no longer able to access my Biola alumni email account, how will I log into BiolaHub? |

Please ensure your access to BiolaHub as soon as possible by following the steps on the BiolaHub Information page. If you previously logged in with your NetID, LinkedIn or Facebook account, you can still login with those methods and update your email address in Settings. If you only used your biola.edu email address, contact Support at the bottom right corner of the BiolaHub login page. Graduway and the Biola Alumni Office will verify your identity to help you regain access to your account. |

4. I get an error message when I try to transfer data out of my Google account. How do I solve this issue? |

You may see the above error message when you are signed into your personal Google account as the default account, or if you are currently a Biola employee. If you are not an employee and are seeing this message, please follow the transfer instructions on this page: Transfer Your Data to a Personal Google Account If you are a Biola employee, please view this page for information about our policies: You may see the above error message when your Google content transfer failed. Please ensure that your personal Google account has enough data available for the transfer and try the the transfer tool again. If the error reappears, please download your data to local storage. You can choose what to do with the data after download has finished, including uploading the content to your personal Google account.

6. I am unable to download my data in bulk through the Google Drive for desktop application. It says: "Google Drive isn’t available. Your Google Workspace admin turned off Google Drive for your organization." How do I fix this issue? |
